Terms of Service · Version 2026-10-15 · Effective October 15, 2026
These Terms of Service ("Terms") are a legal agreement between your veterinary practice ("you", "the Practice") and ROLOVET INC, a Florida corporation that operates Rolovet ("we", "us") governing your use of the Rolovet software and services (the "Service"). By creating an account you agree to these Terms.
You are responsible for the accuracy of the information you provide, for maintaining the confidentiality of your credentials, and for all activity under your account. The first user to create a practice is its administrator and is responsible for inviting and managing additional staff.
You agree to use the Service only for lawful veterinary and business purposes, in compliance with applicable laws, telecommunication regulations (including CTIA / 10DLC messaging rules), and third-party terms. You will not misuse, reverse engineer, resell, or attempt to gain unauthorized access to the Service.
You retain ownership of the client, patient, and business records you enter ("Practice Data"). You grant us the limited rights needed to host, process, back up, and display that data to operate the Service on your behalf. You are responsible for having the right to store the data you upload and for obtaining any consents required to contact your clients.
Who can see your data. We protect Practice Data as described in our Privacy Policy, and we do not browse it. We open a practice's records only (1) when the practice asks us for support, through a time-limited support session that shows a banner in the practice's account and is recorded in its audit log; (2) to keep the Service running and secure; or (3) where the law requires it. The way a practice takes its own data out is through its clinic page, described below.
Keep your own copy. You are responsible for keeping your own copy of your practice's records, including your clients' patient charts, as the law and your professional rules require. An administrator can download a complete copy at any time from your clinic's page in Rolovet (Settings, then Data & backups, then "Take your own copy"). It is a zip file with your records as spreadsheets plus the attached files in each patient's folder; private client documents such as ID and card images are not included. Any patient's chart can also be printed or saved as a PDF from the chart itself. We keep encrypted backups so we can restore the Service after a failure, but they are for running the Service, not a substitute for your own copies. We recommend downloading a copy regularly, and always before you cancel.
The Service can send email and SMS to your clients on your behalf. You are responsible for the content of those messages and for honoring opt-out requests. Where Rolovet facilitates carrier (10DLC) registration for your number, you authorize us to submit the registration on your behalf using the business information you provide.
How text messages and emails are sent through Rolovet, how clients agree to receive them, and how they stop them are described in our SMS Policy and Email Policy. A practice must follow them when it uses the Service to message its clients.
We aim to keep the Service available but do not guarantee uninterrupted operation. We may update, add, or remove features. Material changes to these Terms will be posted here with a new version number.
Rolovet is a paid subscription after a free trial. The plans and prices, how and when you are billed, how you authorize us to charge your card, plan limits, cancelling, refunds, and failed payments are set out in our Subscription & Billing Terms, which are part of these Terms. Rolovet does not process or hold payments between a practice and its own clients; it only records them for the practice.
You may stop using the Service at any time. We may suspend or terminate access for violation of these Terms. After a practice cancels, we keep its data for 90 days so that it can still download a copy from its clinic page. We email the practice when it cancels and again 30 days and 7 days before the end of that period. After the 90 days we delete the practice's data permanently, and it leaves our encrypted backups as they expire, within about five weeks. Once deleted, the data cannot be recovered. A practice that wants its data deleted sooner can ask us in writing.
The Service is provided "as is" without warranties of any kind. Rolovet is a records and workflow tool and does not provide veterinary or medical advice. The AI features produce suggestions to support a clinician's judgment; they can be wrong, and the licensed veterinarian remains responsible for every diagnosis, dose, and treatment decision. To the fullest extent permitted by law, our aggregate liability is limited to the fees you paid in the 12 months preceding the claim.
