This Email Policy explains the email that veterinary clinics send to their own clients through Rolovet, which is operated by ROLOVET INC. It should be read together with our Privacy Policy.

Who sends the emails

Each email is sent by a veterinary clinic to its own client, and it shows the clinic's name. A client who replies reaches the clinic, not ROLOVET INC. The clinic is responsible for the content of its emails and for the list of people it writes to. ROLOVET INC also sends account emails to the staff who use Rolovet, such as address verification, password reset and billing notices.

Information we collect

• the client's email address;
• what was sent, when, and whether it was delivered, bounced, or reported as spam;
• whether the client has asked to stop reminder emails.

The emails

Emails are about the client's pet and the client's account with the clinic, for example:

• appointment and vaccination reminders;
• invoices and receipts;
• copies of forms the client signed, and lab results explained in plain words;
• links to complete a form or send a photo, and replies to the client's questions.

Email through Rolovet is for these service messages. It is not for advertising, and a clinic cannot use it to write to people who are not its clients.

Where the addresses come from

A clinic writes to addresses its clients gave it: when they registered, in person, or on the clinic's forms. No lists are bought, rented, or collected from the internet.

How often

It depends on the client's pet and appointments, plus an invoice after a visit.

Stopping reminder emails

Every reminder email has a link at the bottom, and a mail app's Unsubscribe button, that stops reminder emails to that address with one press. Invoices, forms and other messages about the pet's care are not reminders and will still be sent. To stop those as well, tell the clinic. A clinic can also turn reminder emails off for a client at the client's request.

Bounces and complaints

If an address does not exist, or a client reports an email as spam, we stop sending to that address until the clinic corrects it. The clinic sees what was not sent and why.

Security

Emails go through our email providers over encrypted connections where the receiving mail server supports them. Email is not a private channel, so the body of a message carries only what the client needs. The rest of how we protect information is in our Privacy Policy.

Information sharing

We do not sell or rent email addresses, and we do not share them for anyone's marketing. An address is shared only with the email delivery providers that send the message, with the clinic the client belongs to, and with authorities where the law requires it.

Changes

If we change this policy in a meaningful way we will post the new version here with a new date.
